Information for Hirers

THE CENTRE’S RESPONSIBILITIES

To provide:

  • An exhibition space that is clean and ready to use
  • Plinths and exhibition furniture
  • A hanging system for 2D works
  • Safe ladders and trolleys
  • A security system
  • Tools, drop cloths, filler, sandpaper and paint for repairs to walls and plinths
  • Wine glasses and white tablecloths, if required, for your opening.
  • Kitchen facilities
  • Access to EFTPOS/credit card facilities. Please be aware that we will deduct 2.5% (5% from 1 Jan 2024) to cover the bank charges from these transactions
  • A volunteer to show you where everything is if this is your first exhibition
  • A key to the exhibition space and kitchen so you can come and go as you please
  • Promotion of your exhibition on our website and Facebook page


THE HIRER’S RESPONSIBILITIES

  • To be considerate as there are many people and groups that use the Arts Centre and do not wish to have their activities disrupted
  • To set up your own exhibition and provide your own labels
  • To not hang anything from the lighting tracks. Use the metal pipes that cross above the lighting track.
  • To arrange promotion of your exhibition
  • To provide your own insurance for your work and belongings while they are in the Arts Centre as the Whanganui Community Arts Centre Trust takes no responsibility for any damage or theft of personal belongings or artworks while on the premises
  • To take away all your rubbish and recycling, and clean up after your opening function
  • To leave the walls of the gallery in the condition that you found them. We have provided all that you need for this purpose
  • To return plinths, ladders, tables, tools etc. to the storeroom
  • To let us know if any bulbs need replacing or if anything wasn’t working properly
  • To provide a list of any EFTPOS transactions so we can cross reference with our records and make payment to you. We will also need your bank account details.

Health and Safety Policy

THE HIRER’S RESPONSIBILITIES

  • The Hirer must ensure that access and egress for tenants, the public and emergency vehicles are available at all times and that the public and tenants are not inconvenienced by the hire.
    This includes access ways at the front and rear of the building that must be kept clear at all times.
  • It is the Hirers responsibility to make themselves familiar with the evacuation procedure in case of fire at the venue, and to ensure that all emergency exits are clear and free of any obstacles.
  • In case of fire at the centre, the Hirer must ensure the evacuation procedure is followed immediately and fire emergency response is notified.
  • Any hazard a Hirer may encounter either as a result of any activity or physical condition must be reported immediately to the relevant emergency response and also to the centre.
  • First aid supplies can be located on site in the kitchen. If the hirer uses any items in the first aid kit it is the responsibility of the hirer to replace said items for the use of the next hirer.
  • In the case of a medical emergency during your event it is the hirers responsibility to contact emergency services for assistance. A defibrillation unit is located at the i-Site.
  • It is the hirers responsibility to ensure that any event held at the centre complies with guidelines and regulations as described in the Health and Safety in Employment Act 1992.

 

Restricted items in the centre

The following items are restricted and cannot be brought into the centre:

  • Flammable liquids or accelerants (e.g., petrol, diesel, CNG, and LPG)
  • Items that produce flames or extreme heat (including candles and cooking appliances)
  • Smoke machines
  • Helium balloons

 

Alcohol & Tobacco

It is the hirers responsibility to comply with any alcohol consumption restrictions, laws and bylaws in effect at the time of this agreement. If you are unsure of current guidelines contact Whanganui District Council for advice.

The Whanganui Art Centre is a smoke free environment in accordance with the Smoke-Free Environments Act 1990 and the Whanganui District Council Smoke free CBD guidelines. Therefore the hirer will ensure that they and their guests do not smoke anywhere on the premises and where possible instruct members of the public of the same.

 

Hazard Mitigation

The following hazardous scenarios must be mitigated in the following ways by the hirer:

Electrical Appliances

All electrical appliances brought on site by the hirer must have a Current (portable appliance testing) PAT test tag and be compliant with electrical safety standards

Electrical Cables

All electrical cables, extension cables and multiboxes brought on site by the hirer must also have a current PAT test tag and must be taped down while in use so that they do not present a tripping hazard.

Doorways and Thoroughfares

Doorways and thoroughfares must be kept clear at all times, cables are not to be run across doorways or access ways.

Lighting

Please ensure lights are on in the centre while it is in use either by yourself or the public to minimise accidents and tripping hazards.

Stairways

Ensure that nothing is left on or at the bottom of a stairway that Could present a tripping hazard or impede access.

Working at height

Step ladders are provided for hanging and installing, please use these ladders, do not use chairs or tables as an alternative, if you find any fault with any of the step ladders please report it to the centre.

Furniture

Chairs and tables can be found throughout the centre and are free for you to use. If you find any fault with any furniture do not allow the general public or your guests to use this furniture and report the fault to the centre.

Kitchen

The kitchen is available for hirers to use, please ensure that the general public does not have access to this kitchen, particularly unsupervised children as cleaning products can be found within.

Ablutions

Centre toilets are shared by hirers, tenants and the public. If you Find any fault with the toilets or plumbing please report it to the centre immediately.

Capacity

Ensure that invited guests to an event does not exceed the venue capacity of 200 people

Fire

In the event of  fire do not attempt to put out the fire yourself, evacuate the facility as per the evacuation instructions in the centre and then call the fire department.

Earthquake/Tsunami

In the event of  earthquake, stop, drop and hold, do not attempt to flee the building immediately. Once the shaking has stopped evacuate the building as per the evacuation instructions.

Flood

In the event of a flood, early warning systems will allow several hours to evacuate the building. The centre will notify hirers if this becomes necessary. It is the responsibility of the hirer to ensure that they and their guests evacuate the building as per the instructions of civil defense.
